Fire Safety Specialists

Fire Safety Specialists perform fire safety audits of buildings to ensure compliance with various building regulations.  

After the audit, they produce a report for the building owner to show the compliant and noncompliant areas.  Their issue was the audit and report writing had to be done separately, sometimes not even on the same day.  This was because the report building software they had was purely browser-based and would only work on a PC.

App Based System

To solve this issue we created an App so that they could create the report at the same time as they noted the issues.  So now as they enter each room they simply punch in any issues as they go along.

Reduce Typing

The biggest issue to streamlining any report writing process is to minimise the amount of typing.  To achieve this we firstly created a comprehensive list of over 600 boilerplate questions and answers.  These can be selected simply by typing in just one or 2 words to find the right one. 

But for maximum flexibility, we also created another section where they could type in something if it was too specific to justify being a boilerplate answer. Such as “The pressure gauge on this extinguisher is damaged and needs replacing”.

Photographs

Next, we made use of photos.  Using photos to show an area makes it really easy to understand what point they are trying to make.  Cutting down on a laborious block of text to achieve the same thing.

Also, photographs have the side benefit of offering proof of what was seen on the day.  Especially if it wasn’t a ‘normal’ occurrence.

Copy Button

Finally, when they are performing an audit, it’s common for them to see the same issue in multiple different locations.  So we created a copy button so they could copy a similar issue and then simply edit the minor differences.

Works On ALL Devices

All our Apps work on all makes of Smartphones and Tablets.  This has proved quite useful as they have found that on some jobs, it’s best to have both options.  Tablets with their larger screen size are best at showing large blocks of text. Plus they can also support a Bluetooth keyboard if some typing is required.  But Smartphones typically have much better cameras and always include a flash. Which has proved handy when taking photos of dark cupboards and roof spaces.

Having used the App for a couple of months now.  We've found that saves AT LEAST 2 hours per report compared to our previous report writing software.  We fully expect that the time taken to write reports will reduce further as we get more proficient
